Managing Tasks and Activities

1. Creating Tasks

You can create tasks directly from any record page using the side panel. This is the fastest way to capture action items while reviewing data.

1. Open a record (e.g., a Product or Invoice).
2. Locate the **Tasks** panel on the right side of the screen.
3. Enter a brief **Description** for your task.
4. Click the **Add Task** button.
**Note:** The quick-create panel only supports adding a **Description**. To set a **Due Date** or assign the task to a specific user, you must edit the task in the full **Activities** grid.

Adding Details via Activities Grid

To add more information like due dates or assignees:

1. Find your task in the grid and click to open the editor.
2. Set the **Due Date** using the date picker.
3. Select a user from the **Assigned To** dropdown.
4. Click **Save** to update the task.

2. Bulk Actions

When you need to create the same task for multiple records (e.g., “Review pricing” for all products in a category), use the mass update tool.

Creating Tasks for Multiple Records

1. Select the records you want to create tasks for in the grid.
2. Click **Tools** in the toolbar and select **Mass update**.
3. In the dialog, select the **Manual bulk update** tab.
4. Click the **Add Relations** button and select **Activities**.
5. In the new section that appears, ensure the operation is set to **Create**.
6. Enter the task **Description**.
7. Click **Update all** to create tasks for all selected records.

Saving as Automation

If you perform the same bulk task creation frequently, you can save it as an automation.

1. Configure your bulk task creation as described above.
2. Instead of clicking **Update all**, click the **Save as automation** button.
3. Provide a **Name** and **Description** for your automation.
4. Click **Save**.

3. Timeline & History

The side panels provide a consolidated view of all activities related to a record, including tasks and comments.

Viewing Tasks vs Comments

  • Tasks: Use the Tasks panel to track action items and their resolution status.
  • Comments: Use the Comments panel for general discussion and history.

Filtering

To focus on what still needs to be done:

1. Open the **Tasks** panel on a record page.
2. Select the **Unresolved** checkbox to show only tasks that haven't been marked as resolved.

4. Monitoring & Resolution

Keep track of your workload and resolve tasks as you complete them.

Dashboard Widgets

The dashboard provides a high-level overview of your pending work:

  • My Tasks: Shows a list of tasks assigned to you, highlighting those that are overdue.
  • Accounts Aging: Displays overdue amounts in buckets (30/60/90+ days), helping you prioritize collection tasks.
**Tip:** Click on any item in the **My Tasks** widget to jump directly to the related record and resolve the task.

Resolving Tasks

You can mark tasks as completed without leaving the record page.

1. Locate the task in the **Tasks** panel.
2. Click the **Mark as resolved** button (check icon) to update the task status.
